Planning event medical cover in North Wales

A practical briefing guide for organisers of running events, athletics meetings, community gatherings, corporate events, motorsport and filming.

Updated 2 November 2026 · By CRMS Cymru

At a glance: CRMS Cymru provides event first aid and medical support in North Wales. Services include ambulance cover and rapid response vehicles, with the team, equipment and deployment agreed for each event. Enquiries: hello@crms.wales or +44 1745 771716.

Where does CRMS Cymru provide event medical cover?

CRMS Cymru supports events across North Wales, with enquiries handled from Abergele, Conwy. Coverage includes Anglesey, Gwynedd and Eryri, Conwy, Denbighshire, Flintshire and Wrexham. Availability and the proposed provision are confirmed for each booking.

Send the actual venue address and a site or course map. A county or town name alone does not show how teams will reach an incident, where treatment can take place or whether there are access restrictions.

Which event medical service should I ask about?

Start with the event rather than a fixed number of staff or a vehicle. The activities, attendance, participant age groups, programme, duration, terrain and access arrangements all help shape the discussion.

Event first aid and medical teams
Event medical teams provide on-site support planned around the venue and programme. Ask about the proposed personnel, treatment point, equipment and contact arrangements.
Ambulance cover
Ambulance provision may form part of the agreed plan. Discuss positioning, access, crew roles and how any change in available resources would be managed.
Rapid response vehicles
Rapid response vehicles bring medical personnel and equipment to incidents as part of the deployment plan. They work alongside the other resources agreed for the event.

Our service pages cover running events, athletics, corporate events, community events, food festivals and markets, motorsport and TV and film productions.

What information should I include in an enquiry?

A useful briefing lets us discuss the practical needs of the day. Estimates are welcome during early planning; clearly mark details that may change.

Event and people

  • Event name, type and organiser’s contact details.
  • Date, opening times, activity timetable and expected finish.
  • Expected participants, spectators, staff and volunteers.
  • Age groups and whether activities are competitive or physically demanding.
  • Activities, course distances, stages or separate event areas.

Venue and arrangements

  • Venue address and a site plan or route map.
  • Vehicle entrances, gate arrangements and access restrictions.
  • Proposed first aid or treatment-point location.
  • Event control and marshal communication arrangements.
  • Event risk assessment and any requirements already discussed with the venue or relevant event bodies.

Download the event briefing checklist and complete it before requesting your quote. Please keep the initial briefing about the event; do not include identifiable patient records.

What should we agree about access and communications?

Identify the entrance that medical vehicles should use, who can open restricted gates, where vehicles can turn and which areas may become crowded. For dispersed routes, include reference points that marshals and event control can use consistently.

Agree how an incident is reported, who receives the call and how the location is described. Tell us about areas with limited mobile reception, remote sections, steep terrain or changes to the event footprint. Connect these details with your wider event plan so that organisers, marshals and the medical team share the same information.

For running and athletics events, include start and finish arrangements and access to the course. For filming, include location changes and call times. For markets and community events, show trader areas, public routes and the proposed first aid point.

Common planning questions

Does every event need an ambulance?
The appropriate resources depend on the event. Share the activities, attendance, venue and risk information so we can discuss whether first aid teams, ambulance cover, rapid response vehicles or a combination may suit.
Can we enquire before our plans are final?
Yes. Send the information available and explain which dates, numbers or arrangements are provisional. Update us when they change so that the discussion reflects the current plan.
Is a quote the same as a confirmed booking?
Availability, scope and booking arrangements need to be agreed with the team. Review the proposed provision and terms of business before treating the cover as confirmed.
Where can I find more information?
See the event medical FAQs, about CRMS Cymru and the relevant service page, or contact us to discuss the details of your event.
